What is Out-of-Office Rescheduling and how it helps

Out-of-Office Rescheduling automatically detects when prospects are away and intelligently manages your campaigns by:

  • Pausing outreach while prospects are out of office
  • Resuming campaigns at the right time when they return
  • Preventing your messages from getting buried in full inboxes
  • Increasing response rates by sending emails when prospects are available

How it works

  1. Go to the Settings section in your SmartReach.io dashboard
  2. Click on Integration Settings
  3. Find the AI Automations section
  4. Toggle the switch to activate Out-of-Office Rescheduling

**Once activated, the system will:

  1. Monitor incoming emails for out-of-office auto-replies
  2. Identify the prospect's return date from the message
  3. Pause the ongoing campaign for this prospect
  4. Add a 1-day buffer after the return date
  5. Resume the campaign automatically when the prospect is back
  6. Send you a notification when campaigns are rescheduled

To deactivate, simply toggle the switch to the off position.

  • Out-of-Office Rescheduling is available on Plus, Pro & Scale plans. Free trial users can test these features during their trial period.

  • The system recognizes standard out-of-office formats from major email providers. It may not detect highly customized messages. You can always manually pause campaigns if needed.

What happens if no return date is found in an out-of-office message?

  • If no specific return date is detected, the campaign remains paused. You'll receive a notification so you can review the message and decide when to resume manually.

Can I see which campaigns have been automatically paused?

  • Yes. The system notifies you when campaigns are rescheduled, and you can view all paused campaigns in the Campaigns section with an "Auto-paused" status indicator.

Can I customize the buffer period after a prospect returns?

  • Currently, the system sets a default 1-day buffer after the return date. This ensures prospects have time to catch up on emails before receiving your next message.

  • By ensuring your messages arrive when prospects are in the office, you increase the chances of getting a response. This prevents your important emails from getting buried in a full inbox after a vacation.
